Stock Tracking

Stock tracking starts with a spreadsheet in most businesses and works for a long time. The moment it stops working usually goes unnoticed, because the spreadsheet still looks full. It gets noticed when something you do not have has been sold.

Our first question when building a system is not how many items there are, it is who changes the stock and at what moment.

What the System Covers

Movement records

Every movement records who made it and when. That log is where you look when a count does not add up, and without it the discrepancy cannot be traced.

Low stock alerts

Knowing in advance when an item will run out is cheaper than placing an urgent order. Thresholds are set per product, because lead times differ.

More than one location

The same product sitting in different quantities across two warehouses is invisible in a system that shows a single number. Without location, transfers cannot be tracked either.

Stock counts

Comparing the physical count against the system and recording the difference. Quietly correcting a discrepancy does nothing to stop it happening again.

What We Watch For

  • Stock decreases at the point your workflow actually consumes it, not at the moment of order.
  • We prevent going negative, or allow it deliberately and flag it.
  • Every correction records a reason.
  • History can be reported on, not just the current position.

Frequently Asked Questions

Usually yes. The hard part is not the import, it is cleaning the data first. The same product recorded under three different spellings is the situation we meet most often, and it has to be resolved before any system goes in.

It can. What has to be settled is which one tells the truth. If both systems update each other, it must be clear from the start which wins in a conflict.

Not strictly, but they cut the error rate noticeably. Anywhere data is entered by hand there are typing mistakes. As the number of items grows, barcodes pay for themselves quickly.
